Privacy policy

1. Who we are and how to contact us

BillSnap helps you save receipts and understand your spending. This policy covers the app, its services, our BillSnap website and messages you send us.

BillSnap is operated by Mayfern Labs LTD, company number 17453053, with its registered office at 27 Old Gloucester Street, London, United Kingdom, WC1N 3AX. Mayfern Labs LTD is the controller responsible for the personal information described in this policy.

For privacy questions, access requests or deletion requests, contact privacy@mayfernlabs.com. For help with the app or a purchase, contact support@mayfernlabs.com.

2. Information we handle

Information Examples
Receipts Photos, shops, dates, amounts, currencies, purchases and changes you make. A photo may also show other personal information printed on the receipt.
Account and app use Your email and profile details, account and device identifiers, app preferences, scan usage and information about errors.
Subscriptions Purchase, renewal, refund and subscription status.
Support Messages and attachments you send us.
Optional analytics How you use Premium features and checkout, with an account or device identifier.

We receive information from you, your use of BillSnap and the services that handle sign-in and subscriptions. Apple or Google processes store payments; we do not receive your full card details from them. A receipt photo may contain payment information printed on it.

3. Receipt scanning and backup

BillSnap saves receipts on your device. Scanning also sends receipt images to online services, including AI services, so BillSnap can read and organise them. This happens even when you use BillSnap as a guest or have cloud backup switched off.

If you enable cloud backup, BillSnap also saves eligible receipts online so you can restore them. Turning backup off stops future backup but does not delete copies already stored. See account and data deletion to request removal.

You control camera and photo access in device settings. Avoid uploading information you do not need to store.

4. Why we use information

Where UK data protection law applies, our purposes and legal bases are:

Scanning needs receipt images, and account features need account details. Optional analytics is not required to use BillSnap.

We use receipts to show your history and spending. A receipt can contain sensitive information, such as details of a prescription. Please avoid uploading sensitive information you do not need in BillSnap. We do not use receipts to make decisions about your health.

5. Optional analytics and website

Usage analytics is off by default. You can turn it on or off in Settings → Privacy. If enabled, our analytics provider receives information about Premium feature use and purchases, linked to an account or device identifier. We do not send receipt contents, names or email addresses in these events.

Turning analytics off stops future collection. It does not automatically delete earlier events; email privacy@mayfernlabs.com to request that. Withdrawing consent does not affect processing that happened before withdrawal.

The app stores settings and sign-in information on your device. Our website may store display preferences in your browser. App analytics consent does not cover website tracking.

6. Who receives information

We share information with providers that help us deliver BillSnap:

  • Sign-in and cloud storage providers handle account details and requested backup.
  • Receipt-reading services receive receipt images and contents so we can provide scanning and categorisation.
  • Apple, Google and subscription services handle purchases and Premium access. Apple and Google also use purchase data under their own privacy notices.
  • An analytics provider receives limited app usage information only if you enable analytics.
  • Website and email providers deliver our website and your messages to us.

We may disclose information when required by law or to protect the service and legal rights. If the business is transferred, we will handle any transfer of personal information under applicable data protection law and notify you where required.

We do not sell your personal information, use receipt content for advertising or use your data to train AI models.

7. International processing and security

Mayfern Labs operates in the United Kingdom. Our providers may store or process your information in the UK, the United States, the EU or other countries.

Where needed, we use recognised legal safeguards for transfers outside the UK, such as adequacy arrangements or standard contractual clauses. Contact privacy@mayfernlabs.com for details.

We use access controls and secure connections to protect information. Please protect your device and sign-in details. No service can guarantee absolute security.

8. How long information is kept

We keep information only as long as needed for the service or a legal reason:

Information Retention approach
Receipts on your device Until you delete them or remove the app's local data. Device backups and copies you saved elsewhere are separate.
Account and saved cloud receipts Until you delete them or your account, unless you explicitly sign out on all devices and do not sign back in for at least one year. We may then remove your cloud receipt library. Simply closing or not using the app does not start that period. Your account and subscription remain.
Data used to scan receipts We delete temporary scan images when processing succeeds, fails or times out. For signed-in users, scan results and failed-attempt records remain until you delete the related receipt or account, or we remove the cloud receipt library under the signed-out rule above. Guest scan records are not part of an account; guests can ask us to delete them.
Deleted receipts Removal is permanent after any available Undo period. Cloud removal may wait until you reconnect; other signed-in devices remove that receipt when they next connect.
Optional analytics If you enable analytics, our provider may keep events for up to seven years. Turning analytics off stops new collection but does not erase earlier events. You can ask us to delete those events sooner. Account deletion also requests their removal.
Support messages We keep them while needed to answer your request or deal with a related complaint or claim.
Payment and accounting records We keep the minimum information needed for company accounts for six years from the end of the relevant financial year, or longer when a specific legal duty or claim requires it. This does not include your receipt library.

Security logs may remain while needed to investigate misuse or a security incident. Deleted information may remain in provider backups until those backups are replaced. If we must keep information after a deletion request, we will explain what remains and why.

9. Request account or data deletion

You can request deletion without the app. Email privacy@mayfernlabs.com, preferably from your account email, and ask to delete your BillSnap account and associated data. We may check your identity to protect your information. Do not send passwords, sign-in codes or payment-card details.

To delete in the app, open Settings → Account → Delete account, complete the identity check and confirm. This requires an internet connection.

Account deletion removes your account profile and linked cloud receipts. We request deletion of linked subscription and analytics profiles from our providers. They may take additional time to complete those requests. We keep only information needed for the reasons explained above.

The app also attempts to remove receipt data from the device used for deletion. Copies on other offline devices, in device backups or saved elsewhere may remain. Contact us if deletion reports an error.

You can also email us to request deletion of guest data or particular information without closing your account.

Deleting your account or uninstalling BillSnap does not cancel a subscription. Manage renewal separately in your Apple subscriptions or Google Play subscriptions. You do not need to wait for a paid subscription period to end to request deletion.

We respond to privacy requests without undue delay and normally within one calendar month. We will explain any applicable extension or exception.

10. Your rights and complaints

Depending on your circumstances and applicable law, you can ask to access or correct your information, receive a portable copy, erase it, restrict processing, object to processing based on legitimate interests, or withdraw consent. These rights can have conditions and exceptions. Contact privacy@mayfernlabs.com; you do not need to use a particular form.

BillSnap reads receipts and suggests categories automatically. You can review and correct the results. We do not make lending, insurance or similarly significant decisions about you using them.

You can complain to the UK Information Commissioner's Office or the competent data protection authority where you live. You may contact us first, but that is not a condition of making a complaint.

11. Policy changes

We will update this policy when our practices change, notify you of material changes and obtain fresh consent where required.

Terms and conditions

1. About these terms

These terms apply to your use of BillSnap and its supporting services once published. Your agreement is with Mayfern Labs LTD, company number 17453053, with its registered office at 27 Old Gloucester Street, London, United Kingdom, WC1N 3AX. “We”, “us” and “our” refer to that operator.

Our privacy policy explains how we handle personal information. Accepting these terms does not enable optional analytics.

2. Using BillSnap

BillSnap helps you capture and organise receipts and review spending. Some features need an account or Premium.

Provide accurate account information and keep access to your account secure. Tell us if you believe someone has accessed it without permission. Only submit material you are entitled to use, and avoid including unrelated personal information about others.

3. Receipts, automated results and your records

BillSnap can misread or miscategorise a receipt. Check important details against the original and correct errors before relying on them.

BillSnap is a receipt-management tool, not financial, accounting, tax or legal advice. It does not verify that a receipt is authentic or that an expense qualifies for a deduction. Keep original records where you need them.

Changing a receipt's currency label does not convert its amount. Reports separate currencies and may exclude incomplete records.

4. Free and Premium access

Free currently includes ten new successful receipt scans per calendar month. Retrying the same receipt does not use another scan. Saved receipts remain accessible after Premium ends. Free Insights covers the current month.

Premium currently provides scanning without a monthly scan quota and the additional features described at checkout, including up to twelve months of Insights, category analysis and item-price history. Available history depends on the receipts you have saved. Individual upload, image-count, file-size and processing limits may still apply.

The checkout describes the paid benefits and relevant limits before purchase. Ending Premium does not by itself remove your saved receipts.

5. Subscriptions, payment and renewal

Monthly and annual Premium subscriptions are purchased through Apple or Google. The store checkout shows the price, billing period and any offer before you confirm.

Subscriptions renew automatically unless you cancel through the store before its renewal deadline. Apple or Google charges your store account, and its purchase terms also apply.

You can manage or cancel your subscription through the store account used to subscribe. Cancellation normally stops the next renewal, with access continuing for the paid period unless a refund, revocation or store rule changes that. Price changes follow store notices and applicable law.

Deleting BillSnap, signing out or deleting your BillSnap account does not cancel your subscription. Use Apple's subscription management or Google Play's subscription management to stop renewal.

6. Restoring access, refunds and consumer rights

Use Restore purchases to recover an eligible purchase. You may need the original store and BillSnap accounts. Contact support before buying again if access is missing. Restoration does not guarantee a transfer between BillSnap accounts or app stores.

For a store purchase, use the Apple or Google refund process, or contact us for help. Your statutory cancellation and refund rights still apply, including rights concerning faulty, misdescribed or undelivered digital content or services.

Where the law requires your consent to start a service during a cancellation period, the purchase process must obtain it. Reading these terms does not waive that right.

7. Storage, backup and connectivity

Receipt scanning, sign-in, subscription validation and cloud sync require a network connection. Some saved information remains available locally when you are offline. Premium access may need periodic online verification.

Cloud backup applies when the relevant feature is available and enabled. A pending, failed or interrupted upload is not a completed backup. Check backup status before removing the app, clearing storage or changing devices. Turning backup off does not delete existing cloud copies.

If you explicitly sign out on all devices and do not sign back in for at least one year, we may remove your cloud receipt library. Simply closing or not using the app does not start that period. Signing back in cancels it. This does not cancel a store subscription. Receipt deletion is permanent after any available Undo period.

Keep separate copies of records you must retain. Uninstalling the app or losing a device may remove records that were not backed up.

8. Your content and acceptable use

You keep ownership of your receipt content. You allow us to process it to provide and secure the service you request and meet applicable legal obligations, as described in the privacy policy. This does not give us a right to sell it or use it for unrelated advertising.

You must not access another person's account without permission, upload unlawful material, introduce malicious code, deliberately disrupt the service, or bypass access controls and scan limits. Restrictions do not override rights that the law expressly gives you.

The app and our original branding, designs and software are owned by us or our licensors. We permit you to use them as part of the service. Open-source components remain subject to their own licences.

9. Changes, interruptions and ending the service

We may update BillSnap. We will give appropriate notice of material changes affecting a paid service and provide any choices or remedies required by law.

We may restrict access when reasonably necessary to address serious misuse, a security threat or a legal requirement. Where appropriate, we will explain why and how to contact us. Your consumer rights still apply.

If we discontinue a paid service, we will provide reasonable notice where practicable, an opportunity to retain important records where possible, and any refund or other remedy required by law.

You can stop using BillSnap and request account deletion at any time. Cancel a recurring subscription separately through the relevant store.

10. Our responsibilities

We are responsible for providing BillSnap with the care and skill required by law. Automated results and network access may have errors or interruptions.

We are responsible for loss or damage that is a foreseeable result of our breach of these terms or failure to use reasonable care and skill, subject to applicable law. Nothing in these terms excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or anything else that cannot lawfully be excluded or limited.

These terms do not take away mandatory consumer rights.

11. App-store licences and resolving problems

Apple's or Google's terms apply to downloads and purchases through their stores. For iOS, Apple's Standard End User Licence Agreement applies to the app licence unless a custom agreement is supplied through the App Store.

Contact us so we can try to resolve a problem. Doing so does not prevent you from using statutory remedies, contacting a regulator or bringing a claim.

These terms are governed by the laws of England and Wales. If you are a consumer living elsewhere, this does not deprive you of mandatory protections under the law of your country of residence. You may bring proceedings in the courts available to you under applicable law; these terms do not require you to bring a consumer claim exclusively in England and Wales.

If part of these terms is unenforceable, the rest continues to apply where legally possible. We will identify material revisions and their effective date when notice is required.
